Challenge

 

Sane Event Management is a Sydney, Australia based event management company providing a wide range of services for a range of events, such as conferences, incentive programs, product launches and AGM´s, mostly to the corporate sector. The company also runs conferences and events for Australian blue chip companies. Clients include Apple Computer Australia, Australian Association of Consultant Pharmacists, The Pharmacy Guild of Australia, Sealy Australia, Peter Macallum Cancer Institute, Sinclair Knight Merz and Sun Microsystems.

Sane Events required event management functionality that was flexible enough to handle a wide range of events varying in size and scope.



Solution

General Manager Sales & Marketing for Sane Events, Michelle O´Donahoo says eventsPro and eventsInteractive have long been the tools the company relies on to develop and run its events. Sane Events was one of the companies that beta-tested eventsPro in its development phase and continues to use the system´s capabilities extensively.

According to Michelle, “With eventsPro and eventsInteractive, the data is reliably captured via online registration, which can be made available for viewing by hotels, venues airlines and even the incumbent travel agent to view flight bookings. We´re able to automate this process almost entirely and provide confirmation letters to delegates with signatures by email. We´re able to provide a personal touch to our communications along with a virtually flawless service to all our clients´ guests.”

Sane Events makes much use of eventsPro’s Project Manager module, which is used to produce event reports such as Event Orders that are critical to the smooth management of meetings of all shapes and descriptions. Michelle comments, “When we go onsite we use these documents to allocate tasks and keep track of them. They also allow for contact reports to be generated and for tasks to be sent by email to the staff member or supplier concerned.”

At Sane Events eventsPro and eventsInteractive are used for the smooth management of smaller events as well.

“If we´re organizing a corporate awards dinner and there´s no call for registration and other guest services, we´ll have events set up for liaison with our suppliers such as venue operators and caterers who can receive their instructions and any changes required online wherever they might be located,” explains Michelle.

“We make considerable call on their technical support and the service we receive is top notch. Training is also something we take advantage of, and ensure all staff are up to date with the latest updates that come out. Our aim is to allocate at least two days per year for full office training from the team to assist us with any issues or new upgrades to the software.”

 



Results

One of their important annual events is the conference for franchisees, staff and suppliers to Dymocks Booksellers, one of Australia´s leading retailers. Its main objective is to provide support and continuity of communication between the company and its franchisee bookshop owner/operators, whilst ensuring education with continuous improvement programs.

In 2005, Sane Events used eventPro and eventsInteractive to successfully put on Dymocks’ conference at the Hyatt Regency Coolum on the Queensland Sunshine Coast. The conference was one of the highlights in the company´s year and included an awards night for Dymocks´ top achievers and recognition for store owners´ achievements. The conference also gave Dymocks´ suppliers an opportunity to network with the franchisees and senior executives of the company.

“eventsPro is the scaffolding on which our events are built” says Michelle. “The Dymocks conference was no exception. We run virtually all our registration process using eventsInteractive. it´s only the odd exception where a delegate will require the registration to be done manually, usually by fax.”
